Forms and data submission

Uploading data by Web Portal or the New Employer Hub

Are you registered for Web Portal/Employer Hub? If not please contact the Employer Services Team. 

*IMPORTANT*  We are migrating employers from Web Portal to our new Employer Hub in batches, so please keep an eye on your mailbox if you are an existing Web Portal user, as you will be receiving an email within the next few months. Please do not attempt to access the Employer Hub unless you have received confirmation from us that your organisation has been migrated. This page will be under constant review whilst we are in the process of migrating employers from Web portal to Employer Hub - if you are unsure of the requirements for the platform that you are using, please contact us.

The Web Portal and new Employer Hub are where we process the majority of your organisation's bulk member data. Please refer to the relevant section below to find further assistance.  To read how to upload files through the web portal, please view our pdf icon web portal employer upload guide [2Mb]

Joiners

Please make sure all new joiners are included in the monthly submission for the month that they join. For further information on the process and what additional information is required for joiners please refer to our excelfile icon File Layout - Monthly Data Submissions [29kb]

Forms

If a member is eligible and wishes to join the LGPS or they have recently become a member, they will need to fill out the application form (information for LGPS Fund administrators) which can be found here and return it to yourselves (the employer).

Guidance

If you require to make a material change (S10) to a member record you can do so via the web portal or Employer Hub. Please note Form S10 is no longer available as a paper form/PDF.

50/50 Section: Please note, that the Fund does not provide a physical form for employers to provide to members in order that they can request to move between the main section of the fund and the 50/50 section, or vice versa. However, we have provided the following pdf icon guidance notes [26kb] on how Employers should administer requests received.

Bulk Joiners: These files are for new members of staff, not members of staff who are subject to TUPE transfer.

Please use the excelfile icon BDI Sample File [20kb]provided and either;

a) If you are using Web Portal, ensure you save the BDI as a .csv (comma delimited) file type and delete the header information before you upload the file via our Web Portal

b) If you are using Hub, save your BDI file as a .xls/.xlsx file and upload it through the 'Submit Bulk Joiner/Member Changes File' route in Employer Hub There is no need to remove the header information when loading .xls/.xlsx files through Hub.

Leavers

*Please note the monthly submission procedure only processes Opt-Out type leavers. All other leavers require an S4 form to be filled out via the web portal or Employer Hub

Members wishing to Opt-out of the Scheme

If an member wishes to opt out of the LGPS, please direct them to the following page 'Thinking of opting out of the LGPS'. This page contains more information on opting out, the 'Opting out of the LGPS' form and details of the 50/50 section of the scheme (as an alternative to opting out).

Death in Service

A copy of form PP2 should be completed by the member's spouse/eligible cohabiting partner and eligible children, and uploaded via the Death in Service notification on the Fund's Web Portal.
